Plot Sales Process
Step 1: Site Launches
Whether Goughs dealt with the site at acquisition stage, or whether we’ve been involved slightly further down the line once the Developer is in a position to prepare to launch the site and release plots for sale on the open market, our plot sales team will arrange a site set up meeting to discuss the intricacies of the site.
We’ll provide a Site Set Up Checklist beforehand for the Developer to fill in which will handle all aspects of the site, including general information about the site such as total number of plots, previous use of the site, and other required information such as title, drainage, planning, services and mechanisms for Man Cos/Estate Roads etc. as well as make clear what documents we’ll need.
We’ll also review the site plan, and take instructions on any specific elements that may need to be accounted for in the contract/transfer docs, and will discuss any notice periods when it comes to triggering plot completions.
We will take instructions on any mortgages over the site and the details/procedure for repayment.
We’ll also come out to the site to meet the Sales team and discuss their preferred ways of working, as well as getting a “real life” understanding of the site so we can better answer any enquiries that might be raised.
Step 2: Contract Pack
Following the site set up meeting, we will go away and begin drafting a bespoke suite of documents which will make up the Contract pack for buyers’ solicitors, including but not limited to:
- Draft Contract
- Draft Transfer/Lease (as applicable)
- Information Sheet (a detailed document explaining the site in great details for buyers’ solicitors, the intention being that this limits enquiries and therefore facilitates a speedier exchange!)
- Sales Information Sheet (a stripped back version of the above which can be used by Sales when dealing with minor queries from buyers)
- Standard Replies to Enquiries and Replies to Requisitions
- Standard letters
- Building a Sharepoint with all of the relevant information, which directly links into the Initial Letter and explanation supplied in the Information Sheet.
Step 3: First Reservation
Once the first reservation comes in, we will send out the pack within 24 hours of receipt of instructions. This will all be sent by email.
Step 4: Proceeding With Sale
We’ll proceed with the sale, providing regular updates along the way. We will also provide weekly update tables so you always know what progress is being made. These are available on Sharepoint and are working documents so can be accessed throughout the week and are always up to date!
We also have the facility to send all documents out for signing electronically, saving postage and time.
Step 5: Exchange
If applicable, we will deal with sending the deposit to the Developer on exchange.
Step 6: Completion
We’ll remit the sale proceeds as per the instructions given, and provide a completion statement and receipted invoice per plot. We’ll handle paying any initial service charges and any estate agent’s fees, as applicable.
Step 7: Final Plot
Once the last plot on site has completed, we will deal with transferring any common parts to the Management Company so the Developer can cease their involvement.
